UITYD is a local medical non-profit organization Co-funded by Med Global and multiple donors; it registered in Turkey in the year 2020, working on the front lines of crisis relief in Syria and Turkey to alleviate suffering and save lives, It provides health services and rebuilding healthcare to people in need and supports doctors and medical professionals by provides professional and educational pieces of training to physicians, and delivers medicine and medical supplies to hospitals and vulnerable families, including refugees and displaced persons, in disaster and underserved regions and offers assistance to people based on need, irrespective of race, religion, gender, or political affiliation, UITYD is composed of medical and public health volunteers of diverse backgrounds.
JOB SUMMARY
The Supply Chain Senior Officer oversees and optimizes key supply chain functions, including procurement, fleet operations, and asset management, to ensure efficiency and compliance across all processes.
The role entails managing vendor relationships, leading tendering activities, and handling the full Request for Quotation cycle from initiation through to ensuring the payment when the process is done, in line with organizational procurement and logistics policies. The officer ensures accurate and complete documentation for all supply chain transactions.
The Senior Supply Chain Officer works closely with program teams to coordinate the timely, safe, and compliant delivery of goods, services, and vaccines to designated locations, ensuring the integrity of the cold chain is maintained throughout the distribution process.
MAIN DUTIES AND RESPONSIBILITIES
Procurement
- Vendor Management:
- Identify, assess, and onboard local suppliers, ensuring compliance with organizational standards.
- Facilitate tender processes, RFQs in all procurement thresholds, and supplier negotiations.
- Compliance and Documentation:
- Ensure all procurement adheres to donor and organizational policies.
- Prepare contracts and purchase orders, and ensure complete documentation is duly archived for auditing.
- Collaboration:
- Work in logistics and collaborate with health teams to plan procurement schedules.
- Communicate effectively with internal and external stakeholders to meet project timelines.
Distribution
1. Logistics Planning:
- Develop distribution schedules and routes to ensure timely delivery to the required destinations.
- Continuous roving between UITYD offices.
2. Tracking and Reporting:
- Track shipments and provide regular updates on distribution progress.
- Prepare reports on deliveries and inventory status for stakeholders.
Any other tasks assigned by the line manager.
QUALIFICATIONS AND SKILLS
- Education:
Bachelor’s degree in pharmacy, Civil Engineering, Business Administration, or a related field.
- Experience:
- Minimum of 4 years in procurement and logistics within the humanitarian sector.
- Experience with vaccine or cold chain management is highly desirable.
- Skills:
- Proficiency in inventory management systems.
- Strong analytical, organizational, and communication skills.
- Ability to work under pressure and in conflict-affected settings.
Preferred Attributes
- Knowledge of humanitarian supply chain standards and local market conditions in Syria.
- Fluency in Arabic and intermediate level in English.
- Good skills in Microsoft Office applications like Outlook, Excel, and Word.
- Demonstrated commitment to humanitarian principles and values.
