JOB SUMMARY
The Facility Admin Officer is responsible for managing administrative, human resources, and financial functions to ensure the smooth operation of the healthcare facility. This role is critical for maintaining a well-organized and efficient environment, both for patients and staff.
The Facility Admin Officer Has the following responsibilities and duties:
- Human Resources Support:
● Assisting in preparing and archiving employment documents and employee files.
● Work on preparing time sheets for employees and following up on their signature.
● Follow up on candidates and schedule interviews.
● Any other task requested by his management.
- Financial support
● Oversee financial operations, including budgeting and expense tracking.
● Handle invoicing, billing, and financial reporting as necessary.
● Monitor and manage procurement processes for medical supplies and equipment.
- Administrative Tasks:
● Maintain facility records, contracts, and documentation.
● Schedule and coordinate maintenance, repairs, and inspections.
● Manage office supplies and equipment inventory.
- Compliance and Regulatory Support:
● Ensure compliance with healthcare regulations, including HIPAA and OSHA.
● Collaborate with compliance officers to implement and monitor standards.
● Assist in preparing for healthcare audits and inspections.
- Patient and Staff Safety:
● Work closely with healthcare professionals to ensure a safe and secure environment.
● Assist in emergency preparedness and response planning.
● Maintain health and safety protocols and equipment.
- Vendor Management:
● Coordinate with vendors and service providers, such as medical equipment suppliers.
● Review and approve vendor invoices, ensuring cost-effectiveness.
Requirements and Skills:
The Facility Admin Officer should have the following skills, education, and experience:
● Medical background (nurse, medical doctor, dental doctor, pharmacist…….)
● Previous experience in healthcare facility management or similar function.
● Experience in the field of human resources.
● Good understanding of accounting and financial principles.
● Excellent organizational skills and ability to manage times effectively.
● Strong communication skills and ability to work with multiple teams.
● Proficiency in using software and financial management tools related to the healthcare field.
